There are 129 countries, including the Indonesia, USA, UK, Canada, Australia, and most of Europe and South America, belong to the Hague Apostille Convention.
This treaty allows public documents (birth certificates, degrees, legal papers) to be certified once, removing the need for consular legalization for international use.
What is an Apostille?
An apostille is an international certification issued by a country that is a member of the Hague Apostille Convention.
It verifies the authenticity of public documents, making them valid in any of the 129 countries that are also signatories of the Convention.
This process removes the need for further consular or embassy legalisation.
For example, if a document is apostilled in Indonesia, it can be used without any further legalisation in any other country that is a party to the Hague Apostille Convention, like Ukraine or Germany.
However, the document might need to be translated into the local language before use.

The Apostille Process Step-by-Step
If you are preparing to get a document apostilled, here are the general steps:
Prepare the Document
The document must be a public document issued by an official authority (e.g., marriage certificates, birth certificates, university diplomas).
The document should be signed, and, in some cases, it may need to be notarized.
Apply for Apostille Certification
You will need to go to the relevant government office to apply for the apostille. In Indonesia, this would be done through the Ministry of Law and Human Rights.
Receive the Apostille
After the application, the apostille will be attached to the document. This verifies that the document is official and has been recognized by the issuing country’s authorities.
Translate the Document (if necessary)
The apostille does not affect the language of the document. For example, if you need to use the document in a country that speaks a different language (e.g., Ukraine, which uses Ukrainian), you will need to have the document translated into that language.
The translation must be done by a sworn translator who is certified to ensure the accuracy of the translation.
There are two main approaches for translation and apostille processes:
- Option 1: Apostille First, Then Translate
In this scenario, you would first get the document apostilled (e.g., a marriage certificate from Indonesia), then have it translated into the destination country’s language (e.g., Ukrainian). Once translated, the apostilled document with the translation is ready for use in Ukraine. - Option 2: Translate First, Then Apostille
In this case, you would first have the document translated into the destination language (e.g., Ukrainian). Once the translation is complete, the translated document is then apostilled.
